Privacy Policy

How Bains Rajput Foundation handles personal information collected through this website.

Who we are. Bains Rajput Foundation ("the foundation", "we") is a private community organisation with its main office at Trading Building, Post Office Rahimabad, Tehsil Baloch, District Sudhnoti, Azad Jammu and Kashmir, Pakistan. Questions about this policy can be sent to contact@bainsrajput.org.

1. Information we collect

Membership information

When you submit a membership application, we collect the details you provide: name, father's or guardian's name (optional), date of birth and age, telephone and WhatsApp numbers, email, gender (optional), occupation, education, addresses and location details including district, tehsil, village or town and constituency, membership category, community connection, skills, contribution interests, motivation answers, and your typed electronic signature.

Contact form information

When you contact us, we collect your name, contact details, city, country, district or region, the purpose and subject of your message, its content, your preferred contact method and time, and the urgency level you select.

Telephone, WhatsApp and email communication

If you call, message us on WhatsApp or email us, we process the contact details and content of that communication in order to respond. WhatsApp messages are also subject to WhatsApp's own privacy policy.

Date of birth and age data

Age information is used to apply the constitution's minimum age rule for ordinary membership and to direct applicants under 18 to Youth Volunteer Interest.

Location and constituency data

Location details help the foundation connect members to the right local chapter and understand the geographic spread of the community.

Community affiliation information

Membership forms ask about your connection to the Bains Rajput community. We treat this information carefully, use it only for membership purposes, and never publish it.

2. How we use information

We use the information you provide to process and verify membership applications in line with the constitution, respond to enquiries, administer chapters and programmes, keep the membership roll required by the constitution, and maintain the security of this website. We do not sell personal information, and we do not use it for third-party advertising.

3. Membership verification

Under the constitution, the Executive Committee may verify information provided by an applicant or member, and the Membership Secretary handles membership matters. Verification uses only the information needed for that purpose.

4. Who can access information

Committee access

Access to membership information is limited to the office holders and committees that need it for their constitutional duties, such as the Membership Secretary and the Executive Committee.

Local chapter access

Where you join or express interest in a local chapter, relevant details may be shared with that chapter's officers so they can include you in local activities. Chapters must handle information under the foundation's policies.

Membership applications are never published publicly.

5. International data transfers

Because the foundation's community and office holders span several countries, information may be accessed from outside the country where you live. We ask everyone handling member information to protect it in line with this policy wherever they are located.

6. Data retention

We keep membership records while membership is active, since the constitution provides for lifelong membership unless withdrawn, suspended or terminated. Contact form messages are kept for as long as needed to handle the enquiry and for a reasonable record-keeping period afterwards, after which they can be deleted on request or in periodic clean-ups.

7. Data security

Forms on this website use HTTPS, anti-spam measures, session protection and server-side validation. Email settings and logs are protected from public access. No system is perfectly secure, but we take reasonable technical and organisational measures to protect information.

8. Your rights

Data correction

You can ask us to correct inaccurate information about you by contacting contact@bainsrajput.org.

Data deletion requests

You can ask us to delete your information. We will honour deletion requests unless the constitution requires the record to be kept (for example, the membership roll of active members) or a legal obligation applies; in that case we will explain what we can and cannot delete.

9. Children's information

Ordinary membership requires a minimum age of 18. Young people under 18 may submit a Youth Volunteer Interest; where possible this should be done with the knowledge of a parent or guardian, and the guardian name field is provided for this reason. We do not knowingly publish information about children, and photographs of children are not published in the gallery without appropriate consent.

10. Cookies

This website uses essential cookies for security and form sessions. Optional analytics cookies are loaded only after you allow them in the cookie banner, where you can also reject non-essential cookies or manage preferences. See the cookie banner at any time by clearing your browser's site data for this website.

11. Updates to this policy

We may update this policy as the foundation's activities develop. The current version is always published on this page.
